1. Live Chat Software that delivers more clients to you!

You know that my aim for you is very simple: set up automated marketing systems that deliver new clients to you each and every month without you having to lift a finger.

It was for this reason that I have always been a huge fan of any software that assists with this overall aim. It is the sole reason that I created Your Website Genie – but this isn’t about the Genie – it is about something that works even better than that at bringing new clients to you.

It is about live chat software added to your website and that is managed for you 24 hours a day, 7 days a week.

What does this mean?

Quite simply, it means that you do not have to lift a finger, whilst other people answer queries from your website visitors about your services, delivering the full transcript in an email to you ready for you to progress to the next stage of client conversion.

Why does it work so well? It is the interactivity that makes this process work so well in terms of converting more of your visitors into new enquiries for your services.

What happens normally is that the client ambles around your website, thinking about making contact with you, but unsure whether to do so. Often, they will hit the back button promising to return to your website later to make contact, but will they? Many will not because the next time they head off to find a solicitor they find a competitor’s website instead of your own. Yuk! I hate that. All of your hard work to get the visitor to your website that first time is now wasted. Whether they found you through one of your excellent and informative blog posts, or through an Adwords campaign that has now run out of budget meaning you are invisible when they head off to find you again, it is money spent but not recouped.

What happens when you have live chat on your website is that rather than hitting the back button, a message pops up advising your visitor that someone is online and available to talk with them immediately if that would be helpful so they click “Yes, start now” and before you know it, you have a new enquiry for your services.

At my suggestion, the live chat company now include a photograph of the law firm owner on all of the client websites that I have introduced to this company, which leads to even more interactions and therefore more enquiries for their services. I think I am reasonably good at marketing because I understand people. If I see a picture of the law firm owner on the live chat rather than no image at all, or worse still a stock photography image, I am much more likely to click it and start chatting. It works a treat.

For any of my consultancy or Adwords clients who have any sort of volume of visitors finding their website each month (1,000 or more) I recommend that they use this software.

If you have this volume of visitors, or are spending any money at all on Google Adwords, you really should be using hosted live chat to ‘eek’ out even more clients.

This is not a cheap service, because it involves real people manning the live chat 24/7, so there is a real cost. It is not automated software.

However, rather than think cost, I would always encourage you to think return on investment. Think about what three to ten additional new clients each month are worth to you, then assess whether it is worth your investment.

2. Call Answering Services (includes telesales if required).

In my utopian law firm, nobody inside the firm handles new enquiries from prospects.

Why do I say this? Quite bluntly, because no law firms every handle new enquiries well enough. Ever.

I have called enough law firms to know this is a universal truth. If you have a small team of only one to three of you, as soon as one of you is on a client call, another out of the office and the third one in the toilet, you have no telephone answering system in place.

If you are a larger firm with a receptionist and then a ‘ring around’ option for when he or she is on the telephone, we all know what that really means. It means that you have one receptionist then two to twenty people who will go out of their way to avoid answering the telephone.

What does this mean for your prospects? It means that many of them, having managed to find their way to your law firm, whether through your website, newspaper advertisement or a referral, when they finally pluck up the courage to call you their call goes unanswered. Whilst some will forgive you perhaps once, many won’t. They will go elsewhere for their legal needs.

An outsourced call centre will considerably reduce this problem, if not eliminate it. You can even see how well they perform by using my method below.

My preferred method for using a call centre is to purchase a new number for each marketing activity, then redirect that number to your call centre. You will then receive a weekly or monthly report on how many calls you receive from that number and how many were answered, plus the lengths of the calls and perhaps more pertinently, how many were not answered.

For example, you purchase a new number (same dialling code as your main number) and then place this number all across your website instead of your normal telephone number. This way, existing clients still call your old number and get the run-around when they call, but new prospects are diverted to the call centre and treated like royalty, greatly increasing the chances of you converting them into a new client and generating a return on investment from your marketing spend.

The call centre can be provided with their own unique enquiry form on your website, so that you can see which enquiries are handled by them, and then when they live transfer the call through to the best person for the enquiry (hopefully a new client conversion team rather than a fee earner – see The Meaningful Conversation Blueprint 2 from the PrivateZone for more information) that person can have the completed contact details and the nature of the enquiry in front of them as they talk with the new prospect saving any duplication of effort on the prospect’s part.

I had not been happy with my previous call centre so have spent the last few months hunting down a new provider. I have been testing them on my new beta website Solicitors Near Me and have used the precise method explained above, so I can see that they have not missed any calls and how quickly they answer the telephone, and it has all worked very well.

2. Email Marketing

If you are not currently building a database, or do not have a way of emailing all of your clients at the push of a button, I cannot recommend the software that I use highly enough. The reasons I think you should be using this software are:

  1. It allows you to contact all of your clients at the press of a send button.
  2. You can use a ready made template to prepare client newsletters.
  3. It is a great “lead capture” tool, allowing you to promote practical legal guides both online and offline (eg promoting your “7 Reasons To Make A Will (“LMP 5”) in advertisements) to send people to your website to download them. This software can manage the download automatically, capturing the client’s name and email address for future marketing activities as well as delivering the guide to them, all without you lifting a finger.
  4. You can add a page to your website so that secretaries can add all new clients to your email database.
  5. It is safe and secure – every client must click a link in the email that they receive to confirm their addition to your list thereby ensuring that they are not being spammed.
  6. You can pre-programme newsletters or emails to go out to your clients at a specific time in the future.
  7. You can access the software from any computer, so you do not have to be in the office to draft an announcement to your clients.
  8. You can export from the online database to an excel spreadsheet, thereby ensuring you always have a back up of your contacts.

4. Snagit Screen Capture

This is a fantastic tool. It allows you to take screen shots of the whole of a page or a very small part, and then edit, change, write on or highlight parts of that page. I use it a lot for the M4S Monthly Circular to demonstrate screen shots of the page. You could use it to interact with your website designer (to show him errors as you can highlight the screen shot once you have taken it) or in your staff training manuals or for your outsourced workers. It is a fantastic tool.
